Understanding Unibox and getting started

How does Unibox organize my emails?

Unibox groups your emails by sender. Open a contact to see the messages you have received from and sent to that person together, even when they cover different topics. You can find an earlier email through the person you exchanged it with, without remembering its subject or date.

Can I keep my existing email address?

Yes. Connect Unibox to your existing email account and keep sending from your usual address. You don’t need a new email address or a separate Unibox account.

Which devices can I use Unibox on?

Unibox is available for Mac, iPhone and iPad. The App Store page for each app lists the operating system versions it supports.

Can I use several email accounts together?

Yes. You can see emails from several accounts in one overview or limit the view to a single account. This keeps personal and work messages within reach without having to switch between apps. Using multiple accounts requires Unibox Pro.

Can I use Unibox alongside Apple Mail or my provider’s webmail?

Yes. You can continue using the same email account in other mail apps or in your browser. Your provider keeps changes such as read status, moves and deletions in sync. You can also use Unibox specifically to find earlier conversations or attachments.

What syncs between Mac, iPhone and iPad?

When you set up the same email account on several devices, messages and their status sync through your email provider. Setting up an account in Unibox on one device does not automatically set it up on your other devices. Drafts you start in Unibox are also stored locally on the device where you created them.

Which email providers are supported?

Unibox receives email using IMAP and sends it using SMTP. It works with many providers, including iCloud, Gmail, Outlook.com, Microsoft 365 and Yahoo, as well as suitably configured private mail servers. Work accounts must allow access from other mail apps. Depending on the provider, you sign in through its sign-in page or use an app-specific password.

How do I connect my Gmail account to Unibox?

For Gmail, Unibox currently uses a Google app password. Your Google account must have 2-Step Verification enabled. Create an app password in your Google account and enter it in Unibox instead of your regular password.

Google does not offer app passwords for some work accounts or accounts with certain security settings. If you change your Google password, you will also need to create a new app password.

Which password do I need for iCloud Mail?

For iCloud Mail, you need an app-specific password from Apple. Create one under “Sign-In and Security” in your Apple Account and enter it in Unibox instead of your regular Apple password. Two-factor authentication must be enabled. If you change or reset your Apple password, you will need to create a new app-specific password.

Does Unibox work with Microsoft 365, Outlook.com and Exchange?

You can connect Outlook.com and Microsoft 365 accounts using Microsoft sign-in. Your account must allow receiving email through IMAP and sending through SMTP. For work accounts, your IT department may restrict these connections, so signing in or sending can fail even when your credentials are correct.

For an on-premises Exchange server, compatibility depends on its configuration and supported sign-in methods. Unibox uses IMAP and SMTP for email; this does not include Exchange ActiveSync or Exchange calendars and contacts.

Finding emails and attachments

Where can I find my sent messages?

Open the contact you wrote to. Unibox shows your sent messages alongside the emails you have received from that person. You can read what you have already discussed without switching between your inbox and Sent folder.

How do I view a conversation with several participants?

Open a message from the conversation and choose the conversation view next to its subject. It shows the related emails in that conversation, including messages from other participants. You can follow a particular topic without going through the contact’s entire email history.

Why can’t I see an older or archived email?

First check which account and folders you are viewing and whether a filter is active, such as unread messages only. For older emails, check the sync period: this determines how far back Unibox downloads messages. It does not determine how often new emails are checked.

Then check your provider’s webmail to see whether the message is still there. If it appears there but is still missing in Unibox, that information will help us investigate.

How can I find an attachment without knowing which email it came with?

Open the contact and switch to the attachment browser. You can see attachments from the messages in the current view together, either in a list or as previews. You don’t need to remember which email contained the file.

Can Unibox group several email addresses for the same person?

Unibox can use your address book to associate several addresses with one person. Add the email addresses to the same entry in the Contacts app and allow Unibox to access your contacts. Matching display names alone are not enough to identify someone reliably.

Can I keep using my folders?

Yes. Your email folders remain available. Use the account and folder selector to choose which messages Unibox displays. Messages are grouped by sender within that selection. You can still move emails to other folders and combine frequently used folders into groups.

Writing and clearing out emails

How do I reply to or forward an email?

Open the message and choose Reply, Reply All or Forward from its menu. Reply All is available when a message has additional recipients. On iPhone and iPad, you can also assign these actions to swipe gestures.

Where can I find my drafts?

Choose “Open Drafts” to return to an email you started in Unibox and continue writing. Unibox stores these drafts locally on the device where you created them. They do not automatically appear on your other devices.

Can I use my own email signature?

Yes. You can create signatures in Settings and assign them to your accounts, for example to use different details for work and personal emails. Custom default signatures are included in Unibox Pro.

Can I clear out several emails from one sender together?

Yes. Use a contact’s actions to delete or move its messages together. The action applies to that contact’s messages in the currently selected folders. Check which folders you are viewing before using a bulk action.

Does deleting an email in Unibox also delete it from my provider?

Deletions and moves sync with your email account, so they also affect other mail apps. Whether a deleted message goes to Trash first, and how long it stays there, depends on the action and your account settings.

Removing an account from Unibox is different: it removes that account’s local data from Unibox. It does not delete the emails stored by your provider.

Notifications and privacy

Why do email notifications sometimes arrive late on iPhone or iPad?

iOS controls when apps can fetch new data in the background. An email may therefore already be at your provider before Unibox notifies you. Check that notifications and Background App Refresh are allowed for Unibox, and that your notification settings in Unibox include the messages in question.

If you closed Unibox in the app switcher, open it again. If new emails are not downloaded even while the app is open, also check the connection to your email account.

Do my emails pass through Unibox servers?

Unibox connects directly to your email provider to send and receive email. Your emails are not routed through Unibox servers. Messages and attachments are stored on your device, and login credentials are protected by the Apple Keychain.

Some additional features may contact Unibox services or third-party services, for example for background notifications or sender images. The app’s privacy policy explains how data is processed.

What does the hand icon on an email mean?

The hand icon indicates a blocked image that Unibox has identified as a possible tracking pixel. These images can be used to record when an email is opened. You can choose how Unibox handles remote images in Settings. Detection cannot reliably identify every tracking image.

Why does Unibox ask for access to my contacts?

Access lets Unibox display names and pictures from your address book and match email addresses to people. This happens on your device; your address book is not sent to Unibox servers for this purpose. You can change the permission in your device’s privacy settings.

Unibox Pro and purchases

How much does Unibox cost?

You can use Unibox with one email account for free. Unibox Pro adds multiple accounts and custom default signatures. Pro is available as an annual subscription; the current price is shown in the app before you buy.

The subscription renews each year until you cancel it. You can manage or cancel it in your Apple Account settings.

Which features are included in Unibox Pro?

Unibox Pro lets you use multiple email accounts and set up custom default signatures. The app shows whether Pro is already active for you and which purchase options are available.

I already bought Unibox. How do I restore my purchase?

If you previously bought Unibox from the Mac App Store or made a lifetime in-app purchase of Unibox Pro on iPhone or iPad, Pro remains unlocked on the platform you originally bought it for. You don’t need a subscription for that platform.

Sign in to the App Store with the Apple Account you used for the purchase, then choose “Restore Purchases” in Unibox. If your purchase is not recognized, contact support and tell us which platform you bought it for and where you bought it.

If you bought an earlier Mac license directly from our website, standard Pro pricing applies in the new App Store version. You can also contact support with questions about your previous purchase.

Does my Unibox Pro purchase cover my other devices?

An active Unibox Pro subscription covers Mac, iPhone and iPad. To share access between Mac and iPhone or iPad, the devices must use the same iCloud account. It may take a little time for access to sync.

Earlier lifetime App Store purchases continue to apply to their original platform. They do not automatically unlock the other platform. If you’re unsure, restore your existing purchase or contact support first.

Troubleshooting and updates

Is Unibox still being developed?

Yes, Unibox is being actively developed. You can find released improvements and fixes in the app’s release notes and on the App Store. Email us directly to report a problem or suggest a feature.

What can I check if emails aren’t arriving or won’t send?

First check whether you can sign in to your provider’s webmail and send and receive email there. Then open Unibox, refresh your account and check any error message it displays. If you changed your password or security settings, you may need to sign in again or create a new app password.

If receiving works but sending does not, outgoing access may be restricted separately. Your IT department can help with a work account; otherwise, send the exact error message to our support team.

How can I contact support or suggest a feature?

Email support@uniboxapp.com. For a problem, include your device, operating system and Unibox versions, email provider and the exact error message. Briefly describe what you were trying to do and what happened instead.
